1. Acceptance of Terms

By accessing and using Slotvise, you agree to be bound by these Terms of Service and all applicable laws and regulations. If you do not agree with any of these terms, you are prohibited from using or accessing this site.

2. Service Description

Slotvise provides automated revenue rescue services for healthcare providers, legal professionals, beauty salons, and other service-based businesses. Services include appointment management, patient/client communication via SMS and email, waitlist automation, and analytics. We reserve the right to modify or discontinue the service at any time.

3. User Responsibilities

Maintain accurate account information
Comply with all applicable laws
Protect account credentials
Notify us of unauthorized access

4. Payment and Billing

Subscription fees are billed in advance on a recurring basis. You may cancel at any time, but no refunds will be provided for partial months. All fees are exclusive of taxes.

5. Data Ownership

You retain ownership of your data. We act as a data processor and handle information according to our Privacy Policy, HIPAA requirements, TCPA regulations, and GDPR standards. We do not sell your data to third parties.

6. HIPAA Compliance (Healthcare Customers)

For healthcare customers who are covered entities or business associates under HIPAA, we agree to sign a Business Associate Agreement (BAA) and comply with all HIPAA Privacy and Security Rules.

We will sign a BAA upon request for eligible healthcare customers
We limit Protected Health Information (PHI) to appointment details only
We implement required administrative, physical, and technical safeguards
We conduct annual HIPAA training for all employees with access to PHI
We report breaches of unsecured PHI within 60 days as required
We maintain documentation of compliance for at least 6 years
You are responsible for obtaining patient consent for SMS notifications

7. TCPA Compliance (SMS Messaging)

You agree to comply with the Telephone Consumer Protection Act (TCPA) and all applicable state laws when using our SMS messaging features. This includes obtaining proper consent before sending text messages.

You must obtain express written consent from patients/clients before adding them to SMS lists
Consent must be specific to our messaging service and include clear disclosure
You must honor opt-out requests immediately (we provide automated opt-out handling)
You agree to only send messages during reasonable hours (8 AM - 8 PM local time)
You are responsible for maintaining records of consent for audit purposes
We provide opt-out mechanisms and consent tracking tools to assist compliance
You agree not to use our service for marketing messages without separate consent

8. GDPR Compliance (EU Customers)

For customers in the European Union, we comply with the General Data Protection Regulation (GDPR) and help you meet your obligations as a data controller.

We act as a data processor and process data only on your instructions
We implement appropriate technical and organizational security measures
We assist with data subject access requests, corrections, and deletions
We support data portability requests where technically feasible
We notify you of data breaches without undue delay
We provide EU data residency options where required by law
You are responsible for obtaining lawful basis for processing personal data
We maintain records of processing activities as required by GDPR

9. Consent Requirements

You agree to obtain and maintain proper consent for all communications sent through our platform. This is critical for compliance with HIPAA, TCPA, and GDPR.

Healthcare: Patients must consent to receive appointment reminders under HIPAA TPO exception
SMS: All recipients must opt-in to receive text messages under TCPA
EU: Data subjects must provide explicit consent under GDPR
You must keep records of consent for audit purposes
We provide consent capture and management tools
You agree to immediately revoke consent when requested
Failure to maintain proper consent may result in service termination

10. Limitation of Liability

Slotvise is provided "as is" without warranties of any kind. We are not liable for any indirect, incidental, or consequential damages arising from your use of our service, including but not limited to lost revenue, lost data, or compliance violations resulting from improper use.
